Managing Dealerships and Daily Tasks

The Manage module is an agent’s central workspace for organizing and tracking dealership relationships. It consolidates dealerships, tasks, notes, engagement data, and route planning—helping agents manage daily workflows and follow-ups efficiently.

Page Summary

The Manage page is divided into six tabs:

  1. My Dealerships – View and organize your assigned or prospect dealerships.
  2. Tasks – Track upcoming calls, follow-ups, and visits.
  3. Notes – Log interactions and updates for each dealer.
  4. Page Views – See which dealers are engaging with shared reports or dashboards.
  5. Lists – Group dealerships for outreach, reporting, or travel planning.
  6. Routes – Plan dealer visits and track trip completion.

My Dealerships Tab

Purpose:

Displays all dealerships assigned to or followed by the agent, with quick metrics and CRM-style interactions.

Top Metrics:

  • Total Dealerships – Count segmented by status (Active, Prospect).
  • Avg. Inventory – Average number of vehicles across assigned dealerships.
  • Avg. Last Month Sales – Combined sales volume for the past month.
  • Avg. Days on Lot – Average time vehicles remain unsold.

Table Columns:

Column

Description

Assigned

Initials or avatar of the assigned agent.

Dealer Name

Clickable link to open dealer profile.

Status

Dealer classification (Active, Prospect, Inactive).

Inventory

Total vehicles currently on lot.

Sales

Vehicles sold in the last 30 days.

Days on Lot

Average age of current inventory.

Turnover

Sales rate relative to inventory.

Updated At

Date of last activity or data refresh.

Contact / Tasks / Notes

Quick links to corresponding dealer CRM actions.

User Actions:

  • Filter by status (All, Active, Prospect, etc.)
  • Search by dealer name
  • Open tasks or notes directly from the icons
  • Adjust rows per page for longer lists


Tasks Tab

Purpose:

Tracks all pending tasks linked to dealerships, ensuring timely follow-ups and accountability.

Columns:

Column

Description

Dealer Name

Linked to the associated dealership.

Due Date

Date the task is scheduled for.

Task

Task description (e.g., call, visit, email).

Contact

Linked contact or quick action button.

User Actions:

  • Search or filter by dealer name or keyword
  • Mark tasks complete (if enabled)
  • Add or edit tasks through the dealer detail view


Notes Tab

Purpose:

Centralized view of all dealer-related notes, meeting summaries, or call logs.

Columns:

Description

Dealer Name

Associated dealership.

Date

Timestamp of the note.

# Note(s)

Total notes linked to that dealer.

Most Recent Note

Snippet of the latest entry.

Contact

Quick contact option (if available).

User Actions:

  • Click a note to view or edit
  • Add new notes directly or via dealer profile
  • Filter by date or dealer name

Page Views Tab

Purpose:

Shows engagement analytics for shared VelociFI pages, such as reports or dashboards.

Columns:

Column

Description

Dealer Name

Linked dealership.

First Viewed / Last Viewed

Timestamps of first and latest access.

Total Views

Total number of page views.

User Actions:

  • Click any dealer to open the Public Page Stats modal with detailed engagement breakdown by device (Desktop, Mobile).

Notes:

Use this data to identify highly engaged or inactive dealers.


Lists Tab

Purpose:

Allows agents to group dealerships for outreach, reporting, and route planning.

Layout:

  • Left Panel:
    • Status Lists (Active, Prospect, Inactive, Ignore)
    • Custom Lists (agent-created folders)
    • Add New (+) to create a new list or save current filters
  • Right Panel:
    • Dealer table with columns for Dealer Name, Status, Location, ZIP, URL, and Notes

User Actions:

  • Manage membership (add/remove dealers)
  • Search or export list to CSV
  • Open dealer details or notes

Notes:

Lists sync with other modules, including Market Insights and Routes.


Routes Tab

Purpose:

Plan, organize, and track travel routes for in-person dealer visits.

Columns:

Column

Description

Route

Name and date (e.g., “Lehi – 09/29/25”).

Created

Route creation date.

# Dealerships

Number of dealers on the route.

Total Distance / Route Time

Estimated travel distance and time.

Completed

Marks route as finished.

Settings (⋮)

Edit or delete options.

User Actions:

  • Search routes by name or date
  • Review distance and travel time before visiting

Notes:

Routes integrate with dealer visit tracking and can sync with mobile devices or calendars.


Tips

  • Use Lists and Routes together for regional planning.
  • Check Page Views before outreach to prioritize interested dealers.
  • Keep Notes updated for clear account history.
